Adeptus Solutions is seeking one (1) qualified Executive Assistant to deliver executive, operational, and project support to the GCERC Executive Director and agency leadership. The Executive Assistant shall exercise independent judgment, initiative, discretion, and confidentiality while supporting executive-level operations. The individual may act on behalf of senior leadership in delegated administrative matters and will coordinate complex administrative functions, projects, and procedures.
Key Duties
- Coordinate complex travel arrangements using the Government travel system.
- Schedule and coordinate Council meetings involving senior state and federal officials.
- Provide meeting support, including notetaking and hybrid audiovisual coordination.
- Support the Freedom of Information Act (FOIA) process.
- Plan and execute meeting logistics, including distribution of materials and pre-read documents.
- Maintain office supply readiness and staff workspace organization.
- Perform other administrative duties as assigned.
- Coordinate purchase requests, approvals, receipt verification, and credit card documentation.
- Develop and maintain the annual training plan, track staff training compliance, and completion.
- Monitor compliance with required training and maintain audit-ready documentation.
- Provide general administrative support to Council operations.
- Monthly meeting and written status report to the GCERC Executive Director and Director of Administration, identifying action items and reporting progress.
- Manage Executive Director and agency calendars, including milestone tracking, scheduling, agenda preparation, and follow-up coordination.
Required Knowledge, Skills, and Experience
- Bachelor’s degree in office administration, business, or related field.
- Minimum two (2) years of experience supporting an executive.
- Demonstrated experience managing complex scheduling, coordinating travel, and handling daily executive administrative tasks.
- Excellent oral and written communication skills.
- Experience in file and records management.
- Proficiency with personal computers and business software, including GSuite.
- Ability to interpret procedural guidelines and follow directions.

Hours are Monday through Friday, 8:00 a.m. – 4:30 p.m. (local time). Occasional overtime available. Excludes Federal holidays.
